Unsupervised Sessions
Unsupervised Sessions are used to test individuals or groups of respondents remotely. Respondents are sent information about the procedure, personalised by the administrator, together with log in information for the test, via email. The respondent can then login to their test by clicking on one link that is contained with in the invitation email.

Only certain tests can be emailed to respondents to be completed remotely. These tend to be the personality and values questionnaires, such as the 15FQ+ or OPPro, or the development and guidance tests, such as the JTI or OIP+. Due to test security, ability assessments such as the GRT batteries can not be sent to respondents to be completed remotely.

Once respondents have completed their test, the results are saved directly to the GeneSys Online database, where the administrator has immediate access to the data. At the same time the administrator is sent confirmation of the completion via email.

It is important to note that these emails contain links to external web sites. Therefore it may be that a respondents junk email filter, or companies firewall, may block the invitation from being delivered. Details of ways to prevent this are discussed in the troubleshooting section accessed by the tab above.
Unsupervised Sessions
To Add an Unsupervised session click on the “Add” button in the Sessions column. The middle column will now change to allow you to select which session type you wish to use. Select Unsupervised from the list of available sessions. In the Right hand column enter a brief description of the session and an expiry date.

The brief description will serve as a title for the session, and can allow you to identify it at a later date. An expiry date is set for an unsupervised session so as to prevent respondents from attempting to complete the test once your testing date has passed.

Once you have entered this information you can save the session by clicking on the “Save” button above the middle column.

There are also two optional fields that can be completed. The Email Introduction and the Welcome Text.

Email Introduction & Welcome Text

Select the Templates to use from the drop down menus, or alternativly create a new template by clicking on the red arrow next to the menus.
Unsupervised Sessions
To Edit a session, first select the session from the column, and then press the “Edit” button above. You will now be able to change the type of session you are administering, the session name or the email introduction and welcome text.
Unsupervised Sessions
To administer tests in an unsupervised session you first need to add respondents to it. To add a respondent, select the session from the Sessions column, then click on the “Add” Button in the respondent column. In the right hand column enter the following details:

  • Family Name
  • First Name
  • Email Address
  • Questionnaire
  • Language

  • Once you have entered this information, click on the “Save” button above the right hand column. If at a later stage, prior to testing, you wish to edit this information, click on the “Edit” button in the Respondent column and amend the relevant information in the right hand column.

Once the respondents have been added to the session they can be invited. To invite the respondents click on the envelope icon next to each respondent name, or right click in the respondent column and select the “Select All” option from the menu, then right click again and select “Invite Respondents”. All respondents will then be sent their log in details.

When the respondents have completed the test you will receive an email confirmation, and the icon next to the respondents name will change to show that they have been received. A report may now be requested for the respondent.
    Unsupervised Sessions
Sessions are automatically deleted after one year. However, if you wish to delete your session before that, select the session that you wish to delete from the Session column, then right click on it. You will be offered a menu of actions to perform with the session. Select Delete from the menu.

Please Note: The Delete function is a destructive operation. By deleting a session you will lose it and any respondents from within the session. If you wish to keep the respondents data you can select all the respondents within the session, right click on them and select “cut”. You can now select another session to paste them into.

    Problems with Emails

Personal or company firewalls can sometimes be set to block emails that contain links to external websites. If a respondent does not complete the test in a timely manor it is important to check with them to see if they have received their invitations. If the invitation has gone astray, the respondent should check their junk email folder for the invitation, or if necessary check with their IT department that the emails are not being automatically blocked.

It is also possible to request that the invitations are cc’d to you. By doing this it will be possible for you to let them know the alternative log in method. To do this click on the “Setup” button at the top left of the screen, and put a tick in the box marked “cc all invitations”.

If the respondent still fails to receive the email, it might be best to try sending the invitation to another external email address, such as Hotmail or similar.

    Problems with Flash Player

GeneSys Online requires that you have Adobe Flash Player version 8 or above installed on your computer, the same goes for your respondents. It is possible that certain companies prevent the use or installation of Adobe Flash Player. Adobe now suggest that over 90% of the world has Flash Player 8 or higher installed. If it is therefore the case that your respondent can not launch the test it is best to request that the latest version of Flash Player is installed by the IT department. If this is not possible check to see if the respondent can email their invitation to themselves to access at home.

If the respondent can launch the test, but the screen appears to be jumbled, it means that either they have an older version of Flash installed, or that the version that they do have has not installed correctly. Ask this respondent to download and install the latest version of Flash Player from Adobe.
